Guidance notes for speakers

Timing

The success of the paper sessions depends on strict adherence to timing. Each paper must last no longer than 20 minutes, followed by five minutes for questions. To achieve this, you should plan your talk to last no more than 15-16 minutes, speaking slowly. This last point is most important. Otherwise the translators will not be able to keep up with you.

Be warned: the session chairmen will be given clear instructions not to allow speakers to overrun their 20 minutes.

Copies of your paper

If possible, please bring two extra copies of your paper, one for the Chairman of your session and the other for the translators.

If you would like the paper to be circulated in the Registration pack, please fill out the section at the end of the form and make sure that the copies reach the organisers in time. Alternatively, you can distribute a smaller number of copies after your presentation.

Audio-visual

We will provide you with a laser pointer to pick out a detail on the screen, so that you will not have to waste time moving from the lectern to the screen to point out a detail. The lectern will be provided with a light for your text.

Please remember that if you turn to face the screen and continue talking, what you say will not be heard, either in the hall or by the translators.
 

Slides (35 mm)

The history of cartography is a very visual subject and the quality of slides is therefore most important. You are strongly advised to plan this aspect of your presentation very carefully.

Slides should be relevant to the paper concerned and they should be sharp, so as to be clearly legible. We urge that you choose details of maps as well as (or instead of) an image of the entire map. Only the broad elements of an entire map will be visible. The audience will certainly not be able to see any detail you point out.

It is particularly effective to use two slide projectors at the same time, so as to compare two images. You might show the whole of the map on one side and a detail on the other, or comparative details of two related maps. If you intend to use double-projection, please mark very carefully in your own copy of your paper the place at which each projector should be changed.

We will ask you, when you Register, to go to the special desk to make an appointment with the projectionist for a test run of your slides. This will need to be done well before your lecture.
 

Overheads

We will be able to project overheads. Please make sure that the lettering is large enough to be read from the back of the hall. The type size for lettering should be at least 18 pt and preferably 24 pt Helvetica.

Somebody will be available to change these over for you if you wish. If you plan to change the images yourself, please allow sufficient time and remember that your entire presentation must take no more than 20 minutes.
 

Powerpoint projection

We have the equipment available for powerpoint projection but expect you to bring your own portable p.c.
